Terms and conditions of hire

  1. Booking Time: The time of hire includes entry, exit, setup, and cleanup.
  2. Deposit: A deposit is due at the time of booking and will be refunded provided the hall is left clean, tidy, and undamaged, with no late exit. The booker will be informed at exit whether the deposit will be returned. If the fire alarm is set off, the event will be canceled with no refund.
  3. Full Hire Charge: The full hire charge is due one month prior to the event. For bookings made within one month of the event, both the deposit and the full hire charge are due at the time of booking.
  4. Cancellation Outside 1 Month: If the booker cancels outside of one month prior to the event, the deposit will be refunded.
  5. Cancellation Within 1 Month: If the booker cancels within one month of the event, the deposit may either be transferred to another date or lost in full. The full hire charge will be refunded.
  6. Association Cancellation: If the association cancels the booking, a full refund will be provided to the booker.
  7. Age Restrictions: Bookings are not accepted for individuals aged 13-22.
  8. Alcohol Policy: Alcohol is not permitted at children’s birthday parties due to the low deposit.
  9. Capacity Limits: The maximum capacity is 150 persons in the Colin Peel Hall and 70 persons in the Hopkins Hall.
  10. Included Facilities: The charges quoted by the association include the hall, toilet facilities, chairs, tables, and kitchen facilities.
  11. Technical Installations: Lighting and technical installations in the Colin Peel Hall are not included in the hire and may not be used.
  12. Emergency Procedures: The applicant must familiarize themselves with the building layout, emergency exits, and assembly points. In case of fire, activate the fire alarms using the wall call points, evacuate to the assembly points, and call the fire brigade.
  13. Duty of Care: The applicant is responsible for the safety and well-being of their guests during the hire period, in compliance with Health & Safety regulations.
  14. Force Majeure: (a) If the premises are damaged, destroyed by fire, or rendered unfit for use prior to the hiring date, the booking will be deemed canceled, and the association will refund all payments made. The association is not liable for any loss or claims resulting from such cancellation. (b) In the event of any breakdown or accident that necessitates the temporary closure of the premises or interrupts the hiring, the hirer agrees to hold the association and its representatives free from liability.
  15. Tape Policy: The applicant must not use gaffer tape or any sticky tape on the halls, stage, or walls. Only blu tack or white tack is permitted on the walls.
  16. Cooking Equipment: The applicant may not bring gas canisters for cooking or any cooking equipment that has not been PAT tested. Prior agreement with the hall manager is required before the event.
